Photograph the delivery note. The goods book themselves in.

Today the warehouse worker carries paper to the office and someone re-keys it. Now: the worker photographs the delivery note with a phone — the agent extracts it, matches it to the order and books it in.

Where it hurts today

Where the time really goes

Between the physical receipt and the record in the system there’s a lag of hours or days — the stock level lies.

Re-keying delivery notes means typos in quantities and codes.

Differences between the delivery note and the order surface late, once the supplier is no longer responding.

How the agent works

Step by step

A concrete flow — not promises. And just as important: what the agent deliberately does not do.

1. The worker photographs the delivery note

In a mobile app, or sends it to a designated address.

2. The agent extracts the data

Supplier, items, quantities, batches.

3. Matches to the order

It compares: did what we ordered arrive? In the quantity ordered?

4. Books it in

In the ERP, and prepares the receipt note.

5. Reports differences at once and calls in a person

Missing items, surpluses and damage go straight to the buyer in Teams while the driver is still at the dock. Likewise, the agent doesn’t guess at an unknown item or an illegible delivery note.

What the agent does NOT do

Boundaries that build trust

Never on its own

It doesn’t book in goods that don’t match the order without the buyer’s confirmation.

Never on its own

It doesn’t decide on claims for a damaged shipment with the supplier.

Never on its own

It doesn’t create new stock items without approval.

What we need from you

The input from you is deliberately small

  • The API of your ERP or WMS.
  • A mobile phone for the warehouse workers — an ordinary one will do.
  • The goods master list.
Security and compliance

Your data stays with you

We process data in your own infrastructure or in an EU cloud, as you prefer; both transfer and storage are encrypted.

Processing complies with GDPR and the AI Act; for sensitive data we offer on-prem operation.

Only the roles that should have access to the data do, with an approval and audit trail.

FAQ

What people ask us most

We only have barcodes on some of the goods.

That’s fine — the agent works from the text of the delivery note; barcodes aren’t required.

Does it work for dispatch too?

Yes, the same principle — issue notes, sub-warehouses, stocktakes. We start with goods receipt because that’s where it hurts most.
